Ledyvas + QuickBooks Online
Send your Ledyvas purchases and sales straight to QuickBooks Online through its API — no files, no manual entry. Choose Journal entries mode (double-entry) or Documents mode (bills, invoices, expenses and payments). Before syncing, Ledyvas shows you what will be sent; if you later void or edit a document, the correction reaches QuickBooks.
What it does
Ledyvas is a desktop ERP for tourism, hospitality, catering and trade businesses. Your team runs the day's operations inside Ledyvas — purchases, inventory, sales, cash, fuel and fleets — and this integration sends the data to QuickBooks Online through its API, in the mode you choose:
- Journal entries mode: one balanced double-entry journal entry per purchase, sale and expense.
- Documents mode: creates the matching bill, invoice or expense, and records customer and vendor payments when the document is already collected or paid in Ledyvas.
- Creates the customers and vendors that are missing in QuickBooks.
- No duplicates: every document is identified by its number, in Ledyvas and against QuickBooks, before anything is created. Syncing a period again is safe.
- If you void or edit a document in Ledyvas, the matching record in QuickBooks is deleted or rebuilt on the next sync.
Which edition you need
The QuickBooks Online connection is part of Ledyvas Enterprise and Ledyvas Ultimate. The "Sync with QuickBooks Online" screen appears under Quick Actions. Both editions are subscriptions, available only through an Official Ledyvas Partner.
- Ledyvas Enterprise is built for tourism, hospitality and catering. Besides this connection, it exports accounting files (including the IIF file for QuickBooks Desktop, the installed version, which does not use this connection).
- Ledyvas Ultimate is built for accounting and taxes: tax per document, accounts receivable and payable, and the DGII tax reports for the Dominican Republic.
How to connect
- In Ledyvas, open Quick Actions → Sync with QuickBooks Online.
- Press Connect to QuickBooks Online. Your browser opens.
- Sign in to Intuit and choose the QuickBooks company to connect. You must be an administrator of that company. Ledyvas never sees your password.
- Accept the permission and return to Ledyvas: the screen shows "Connected to" and your company name.
The connection is per company. If you later connect a different QuickBooks company, Ledyvas clears the previous company's account mapping and settings, because internal codes differ between companies.
How to sync
- Pick the period with From and To and press Refresh. Ledyvas shows how many transactions there are, how many were already synced and how many are pending.
- Choose the mode: Journal entries or Documents.
- Press Sync now. When it finishes you see the result: created, skipped (already there), deleted or rebuilt, and the rows with problems with the message QuickBooks returned.
Syncing the same period again duplicates nothing: Ledyvas recognises each document by its number.
Chart of accounts
Ledyvas reads your QuickBooks chart of accounts and assigns each purchase, sales and expense category to an account of the right type (cost of goods sold, income, expenses). You can leave it automatic or open Chart of accounts (optional) and pick an account for each category.
In Journal entries mode, the counterpart goes to Undeposited Funds. Ledyvas does not use Accounts Receivable or Accounts Payable in journal entries because QuickBooks requires a customer or vendor on those lines.
Documents mode
- Purchase → Bill with its vendor.
- Sale → Invoice with its customer. QuickBooks requires a product or service on every line: Ledyvas creates one service per income account, named "Ledyvas - " plus the account.
- Expense and manual fuel load → Expense. QuickBooks requires a bank or credit card account to pay it: choose it on screen; if you choose none, Ledyvas uses the first bank account. If there is none, that expense is sent as a journal entry.
- Document already collected or paid in Ledyvas → the payment (Payment or Bill Payment) is recorded once, for the balance QuickBooks has open. A purchase payment needs a bank account.
Tax
In Documents mode you pick one tax code for sales and one for purchases, from those already in your QuickBooks. It applies only to documents that carry tax in Ledyvas. If a document has tax and you chose no code, it goes out without tax and Ledyvas flags it in the result.
In Journal entries mode, tax is sent to a tax account from your chart of accounts, if there is one (for example "Sales Tax Payable"); if not, the entry goes out without that line and you are warned.
Nightly automatic sync
Turn on Sync automatically every night and Ledyvas syncs the last 120 days on its own, while the app is open. It shows the date and result of the last automatic sync.
If you void or edit a document
- When you void a document in Ledyvas, the next sync deletes it in QuickBooks, together with the payment Ledyvas recorded for it.
- When you edit it, the previous document is deleted and created again with the new data.
- If the document has a payment that Ledyvas did not create (for example, one your accountant recorded), Ledyvas leaves it alone and warns you so you can fix it in QuickBooks.
FAQ
- What permissions does it ask QuickBooks for?
- Only the accounting permission (
com.intuit.quickbooks.accounting), to read the chart of accounts, create customers, vendors and documents, and record payments. It does not ask for card payments or payroll access. - Where are my data and credentials stored?
- Your business data stays on your computer. To connect, the authorization step passes through a Ledyvas server that holds the application secret and hands back a token; that server does not store your accounting data. The token is kept encrypted in Ledyvas's local database. More detail in the privacy policy.
- Can I disconnect?
- Yes, any time. Disconnecting from Ledyvas deletes the stored access and stops sending data. To also withdraw the permission in QuickBooks, remove the Ledyvas app from your QuickBooks account (connected apps). Whatever was already synced stays in QuickBooks.
- Which QuickBooks companies does it work with?
- QuickBooks Online in the United States. QuickBooks Desktop does not use this connection; for that version, Ledyvas Enterprise generates an IIF file from Export to Accounting.
- Is it a free add-on?
- The connection is part of Ledyvas Enterprise and Ledyvas Ultimate, which are subscriptions through an Official Ledyvas Partner.
